Convince Your Boss

Tips for Convincing Your Boss You Should Attend the DocuTAP User Conference

You got the invitation. You’re confident that attending the DocuTAP User Conference will increase your skills and knowledge. You know that what you learn will help you improve clinic operations and be more profitable. What you don’t know is how to convince your boss it’s a good idea.

You have two options:

  1. Keep your opinion to yourself and miss your chance to shine (and get better at your job).
  2. Take a deep breath and approach your boss with a strong pitch.

We recommend number two—mostly because you have nothing to lose.

If you step up, make a pitch, and get a no, your boss knows you care about your professional growth and the health of the business. If you get a yes, you get to spend a few days in Denver in a swanky hotel with DocuTAP users and experts and return with information, ideas, and improved proficiency you can share with your team. You win. The boss wins. And your urgent care wins.

When it’s time to make your case, don’t wing it. Use these tips to prep and deliver.

  1. Send a formal request letter.

Include User Conference details such as:

  • DocuTAP User Conference Website
  • Denver, Colorado – Le Meridian Downtown Denver
  • October 3-5, 2018
  • Investment = attendee fee + flight + accommodations
  • Overview of the workshops that will provide the most benefits to your clinic

  1. Determine your top three reasons for attending.
Think about your clinic’s biggest challenges. Do you need to improve workflow? Speed up your revenue cycle? Customize plan screens, common lists, and reports? Are you expected to train others about topics you’re not totally confident about? Is there specific functionality that you’re not comfortable with? Increase staff productivity?

Remember, these reasons cannot be all about you, but about the clinic.

  1. Match workshops/breakouts with your top three reasons.
Provide an overview of the workshops you think will provide the most benefits to your clinic, with regards to your top three goals. Give specifics about how the conference will directly influence clinic productivity or efficiency. Document how your objectives align with overall company objectives. Be sure to include:
    • Practical skills
    • Increased knowledge from experts
    • Success stories from other clinics that are relevant to your challenges
    • Immediate and long-term value through staff savings and increased productivity
    • Impact on your patients’ experience

  1. Schedule a meeting.

Before you set a date and time to present your proposal to your boss, be sure you anticipate questions and objections, and have answers ready. Arrange to meet out of office or early in the day before business is in full gear. If you choose the wrong time to make your pitch to attend, you may not get a second opportunity. Choose wisely.

  1. Deliver your proposal.

If you’ve done your homework and know this is the conference for you, the rest should be easy.

Take a breath, be confident, and make your perfect pitch. Be sure you talk about benefits and impact on the bottom line. It’s a business decision and must make financial sense. Tell how what you learn can help you save money, improve the revenue cycle, and provide a better experience for your patients. Use realistic examples.

Prepare a plan, and tell how you will share what you learn so everyone at your urgent care benefits.

Be positive and honest, and don’t be discouraged if you have to wait for an answer. It can be a big decision, especially for a small clinic.
